JOB DESCRIPTION
SALES AND PURCHASE ADMINISTRATOR
Fixed-Term Contract (three months) with possibility of permanent position, starting as soon as possible
ESSENTIAL FROM YOU:
1) Overall responsibility for processing website orders, which includes:
a) Downloading orders, preparing and posting parcels to customers.
b) Taking orders via telephone and postal system.
c) Handling any queries from mail order customers.
d) Providing product information to mail order customers, as required.
Key Skills Needed
1) Communication skills, verbal and written, plus basic numeracy.
2) Neat handwriting.
3) Organisational flair.
4) Knowledge and confidence in using computers and Microsoft Outlook email to correspond with customers.
5) Initiative to develop existing systems, when necessary, as part of achieving efficiency.
6) Practical and careful packing skills / ‘Blue Peter’ mentality.

Responsibility for major wholesalers
a) Placing weekly orders with wholesalers using computerised ordering system.
b) Communicating with wholesaler, when necessary, to complete orders and follow up outstanding issues.
c) Keeping abreast of new product launches with wholesaler and advising management where necessary.

Co-ordinating business during owner’s absence
In addition, the administrator will cover for owners during periods of absence. This will involve undertaking the responsibilities normally carried out by the directors as part of the effective control and management of the business, and the following are examples of these duties (however, this list is not exhaustive):
a) Taking overall charge of all stock orders, deliveries and returns.
b) Sharing shop opening, making sure any early deliveries or therapists starting early are able to start on time.
c) Sharing closing tills at end of day, and locking up shop.
d) Ensuring details are taken care of, such as customers being looked after; cleaning being done; having change available for the weekend; dustbins being emptied and cardboard being recycled.
e) Banking.

Organising and implementing staff rota and co-ordinating all business concerns.
General overview of post
As can be seen, this is a crucial post and involves a variety of other tasks around the store. This includes serving customers, key holder, stock checking and processing orders, shelf filling, learning to use the EPOS system, maintaining the shop’s clean and tidy appearance, window displays, dealing with telephone enquiries and bookings for the Therapy Centre.
In addition, you will be required to undertake various other duties as may be reasonably expected of you.
Hours of Work
The post is currently five days per week (Monday – Friday), unless included for Saturday rota, so some flexibility is required.
Training Commitment
An enthusiasm to learn about natural care products and foods is essential to this post and therefore the post holder must be willing to undertake training as and when required, which will on occasions be outside trading hours. As well as in-house training, correspondence courses are provided and financed by the company and are to be completed in the employee’s own time by agreed deadlines.
